Synchronizing data between mobile applications and SAP

Project scope

For an electronics manufacturer, about 100 sales representatives use an offline notebook application to enter quotations at the customers’ site. When the sales representatives log on to the company’s network, all required order data and master data are synchronized with the daily updated SAP database. Subsequently, the orders that were entered offline are automatically processed.

The first step of our assignment was to extract the master data (e.g. items, conditions) from the customer’s central SAP system and shift them to a local data warehouse in order to make them accessible for mobile sales applications.

The second interface to the customer’s central SAP system serves for the input of orders and quotations that are entered via the mobile sales applications. These data are automatically transferred to the SAP system.

Goals / Success Factors

  • The implementation of the new order entry system may not require any changes to the existing SAP system.
  • Entering an order to the SAP system may not require a RFC authorization from the user.

Approach

  • The system allows the sales representatives to access daily updated data for their quotations at the customers’ sites.
  • Accepted quotations can be entered in SAP without any loss of time or errors.
  • The staff required for manual order entry (e.g. orders via telephone or written orders) can be reduced.
  • No changes to the existing SAP system.

  • Use of SAP Automation Package as application interface to SAP.
  • Visual Basic application serving as interface to the data warehouse.
  • Several different servers parallel accessing the order interface.
